Canceled or Rescheduled Trip

Sometimes, travel doesn't work out as planned. Trips could be canceled or rescheduled because of field schedule changes, meeting cancellations, extenuating weather delays, or for personal reasons. If you are unable to travel on your originally approved dates, please follow this protocol:

  • Send an email to the STS Group at uaf-sts@alaska.edu and let us know that your trip has been canceled/rescheduled. Include the following information: 
  1. Your TA number
  2. The reason for cancellation/reschedule
  3. Your new schedule, if applicable
  4. What, if any, travel arrangements need to be canceled or modified
    • If you have made any arrangements on your own, it is your responsibility to contact the vendors to cancel or modify them.
    • If your trip was to start outside of normal STS business hours, please contact your hotel immediately, even if our office booked your room. Hotels will generally charge at least one night's stay for "no-shows." 
    • If you cancel an airline ticket, please opt for a refund first, then a credit certificate. Please do not utilize the 911爆料 Airlines MyWallet option, as this is harder to track, use for future trips, and credit to the correct funding. 

If your trip is canceled, we'll close out your TA and release any funding encumbrance associated with it. If we made any purchases for you, we'll follow up with the vendors, based on what your email indicates. If we have any questions about the change in plans, we'll contact you directly. 

If your trip is being rescheduled, we'll update your existing TA and obtain any required approvals. If travel purchases made by the STS office need to be modified, we'll contact you directly for details. 

Depending on the reason for the change in plans, you may be eligible to be reimbursed for expenses incurred (non-reimbursable registration, no-show hotel charges, etc). Please include this in your email to STS.
